AP-750 — Support Staff Vacation Entitlement

Background

Support staff will receive vacation with pay or vacation pay as entitled under this Administrative Procedure as 10-month employees, 12-month employees or bus drivers. This Administrative Procedure does not apply to employees on contracts with individual specified terms.

Procedures

A. Twelve Month Employees

  1. Support staff shall receive annual vacation time, with pay, in accordance with their years of employment and/or entitlement stipulated in contract. Years of employment will be calculated as continuous years of service except for leaves approved by the Superintendent or designate such as maternity or parental leave.

  2. Vacation/Holidays must be approved by the immediate supervisor. Each employee is expected to submit a plan for annual holidays so that absences do not occur at times when the employee is required and to ensure that holidays are taken during the year.

  3. It is expected that school caretaking staff members will take their entitlement during the month of July and the first three weeks of August.

  4. Staff shall be eligible for vacation time within their first year of employment provided the probationary period has been successfully completed. Vacation entitlement for the initial fiscal/school year of employment (September - August) shall be prorated according to the number of months of service during that year.

  5. Years of employment shall be determined as of August 31st. Vacation entitlement is calculated as of September 1st. Vacation time is earned and to be used by August 31st of that year. If an employee is unable to take his vacation in any year, an alternative vacation plan will be agreed upon between the employee and the immediate supervisor.

  6. Unless otherwise stipulated in an employee contract vacation entitlement is as follows:

    Custodial, Maintenance, Bus Shop and Board Office Staff

    • 2 weeks' vacation in the first and second full year of employment
    • 3 weeks' vacation after two (2) years of employment
    • 4 weeks' vacation after eight (8) years of employment
    • 5 weeks' vacation after fourteen (14) years of employment
  7. No more than 5 days of unused vacation can be carried forward to the next year, unless approved by the Superintendent or designate. A request to carry forward more than 5 vacation days must be accompanied by a plan for use during the subsequent school year.

  8. No vacation days will be paid out.

B. Ten Month Employees (Excluding Bus Drivers)

Vacation pay/entitlement is allocated by hours and paid monthly for 12.5 vacation days per year (6% over 10 months) for all employees regardless of years of service. Part time allocation is pro-rated according to full time equivalency.

C. Bus Drivers

Vacation Pay is allocated by hours and paid on each pay cheque as follows:
