Grasslands School Division believes in being open and accountable to the public in all matters. To this end, this policy provides a framework for the disclosure of the expense information of Trustees which will improve transparency and accountability to the community.

1. Interpretation

In this policy:

(a) "Expenses" means costs and allowances incurred by an individual in the course of School Board Business, including those arising from travel, including transportation, accommodation, meals, and related incidentals.

(b) "School Board Business" means activities intended to promote and achieve the goals and objectives of Grasslands School Division.

2. Application and Scope

This policy applies to the expenses of School Board Trustees.

3. Disclosure of Expense Reports

(a) Expense reports for Trustees will be publicly accessible online on a quarterly basis as follows:

within 30 days after the end of a quarter for which a report must be disclosed.

(b) Information that would normally be withheld under the Freedom of Information and Protection of Privacy Act, such as personal information, must be redacted from supporting documentation and will not be publicly disclosed.

4. Expense Report Requirements

(a) Expense reports align with the Government of Alberta Public Disclosure of Travel and Expense Policy and, at a minimum, include the following information:

(b) Expenses must be attributable, meaning that expenses incurred by one individual on behalf of another must be attributable for disclosure purposes to the individual for whom those expenses were incurred.
